Microsoft Teams Brings AI Facilitator, Smart Notes Taker to Teams in Major Revamp

Microsoft is introducing AI-powered features and platform improvement to Teams. The tech giant is also bringing new options to chat organization and enhancing guest invitations on the cloud-based collaboration platform. One of the new features, Microsoft Teams AI Facilitator, appeared on the admin center, which is available to Microsoft 365 Enterprise customers.
How Does Microsoft Teams’ AI Facilitator Tool Work?
AI Facilitator is one of the notable features that Microsoft is testing on Teams. The new tool is designed to analyze conversations during meetings and flag instances where attendees experience knowledge gaps.
These include situations where participants seem confused or need additional context. If the AI tool detects a knowledge gap, it automatically searches the web, generates responses, and posts them on the meeting chat.
The new Microsoft Teams AI meeting feature will be available to organizers and participants.
However, guests won’t have access to the AI Facilitator tool. The tool is disabled by default, and users can turn it on or keep all its capabilities disabled using a dedicated “Meeting AI” toggle.
The Microsoft Teams chat update comes close to a year after the tech giant unbundled the cloud-based collaboration platform from Office as part of settling an EU antitrust case.
What Other AI Features is Microsoft Bringing to Teams?
Besides the AI Facilitator, Microsoft is adding an AI-generated notes tool to Teams. Previously, the tool supported scheduled online meetings. The tech company is bringing the “Take Notes” tool to in-person meetings, enabling users to:
- Generate meeting summaries in real-time
- Document key decisions from meetings
- Automatically generate action items for meetings
Microsoft, which is laying off 4,800 workers this week, plans to unveil the AI meeting note taking tool on Teams in August this year. The company said a wider rollout of the new tool is scheduled for October.
Microsoft is also giving the chat section on Teams a revamp. The company is reportedly adding dedicated sections for meeting and muted chats. The new sections can place conversations in separate categories automatically. The Windows-maker is also improving guest invitations.
With the new changes, invitations will be initiated from the organizer’s email address, as opposed to a no-reply address. This change is rolling out by the end of this month.
What Does the Teams AI Revamp Mean for Microsoft?
Microsoft’s push to bring new capabilities to Teams highlights the company’s long-term plan to embed AI in everyday workplace tools.
Last month, the company released Scout, an AI agent that brings advanced agentic capabilities to the 365 ecosystem. With the new features, the tech company is aiming to make Teams more than a communication tool and position it as an intelligent workplace assistant.
